Description

A. Job Objectives

  1. Managing Leasing;
  2. Managing Sales Operation,
  3. Managing and Developing Sales Division;
  4. Approving Plaza visibility design and image but not the contents and wordings; and
  5. Executing shopping mall operational tasks for other shopping center(s) as per request.

B. Responsibility:

  1. Leasing: Managing Leasing Team to boost Plaza revenue in the area of:
    • Performing management, leasing (including specialty leasing), lease renewals negotiation, lease agreements and other leasing duties;
    • Professionally representing Plaza; Seeking out prospective tenants; Generating new leasing leads, evaluating tenant mix to determine potential tenant and negotiating qualified deals from inception to finalization of leasing terms and conditions in accordance with the guidelines/templates;
    • Continuously review tenant mix and Tenants appropriateness with Plaza master plan; replace/relocate the Tenants if needed;
    • Serving as the on-site representative for prospective tenant walk through and presentations;
    • Developing and maintaining relationships with prospective and existing tenants;
    • Working with tenants to develop retail standards and ensuring tenants fulfill their lease obligations;
    • Achieving leasing income/revenue (Fixed and TOS percentage) goals established by the Management;
    • Developing leasing budget and business plan and establishing objectives as required;
    • Carrying out tenant management, lease administration and documentation; Preparing leasing reports, budgeting, updating rent roll and market trends;
    • Collaborating with Operation Division and other Departments for the improvement of tenant’s performance as well as tenancy and leasing operations;
    • Promoting the mall according to tenancy plan and maximizing occupancy;
    • Studying, reviewing and recommending policies, procedures;
    • Proposing tenant mix and layout strategy for every 2-years; standard leasing terms and conditions for each floor/zone of Plaza to:

+ Increase, improve, and maximize tenant occupancy of Plaza, increase footfall;

+ Revise and improve Plaza strategy and competitiveness

+ Propose new brands that are trendy and popular on the market and have them leased at Plaza to make Plaza interesting, attractive and lively to other Tenants and Shoppers; and

+ Deal with luxury brands at Level 1 and 2 to keep Plaza as No. 1 shopping mall in Vietnam.

  •  Conducting Research and report to Management on competitors and leasing trends then proposing mater plan and leasing strategy to the Management; and
  • Achieving tenant satisfaction within the limits and conditions.
  1. Sales Operation: Managing Sales Operation Team in:
    • Managing general administration of all lease documentation, rental payments and arrears recovery actions;
    • Fulfilling Manager-on-Duty rotation and managing day-to-day activities as necessary.
    • Ensuring tenants fulfill their lease obligation, tenant lease provisions are being followed while resolving and communicating any issues to TTP management;
    • Coordinating regarding tenant move-in and move-out with other Division/Department;
    • Collaborating with Operation Division and other Departments for resolving tenants’ issues, complains and/or requests;
    • Supporting Marketing Division in the development and execution of a comprehensive marketing plan that enhances Plaza and key retailer sales, enhances POS revenues;
    • Approving design, logo, signage regarding quality and visibility/appearance of the shops in Plaza when the tenants carry out fit-out;
    • Reviewing specialty lease regarding shopping carts, booths, display at Plaza to ensure high-end image of Plaza;
    • Reviewing and approving tenant set-up/fit-out designs and signage; Continuously monitoring and advising Tenants on the trendy concept of the Tenants’ store;
    • Collecting, and monitoring weekly/monthly minimum rent and TOS percentage rent.
    • Maintaining exceptional visual presentation, design standards and merchandise use for the retail zones of Plaza;
    • Creating a world class shopping experience for customers through establishing and maintaining exceptional operating standards for Plaza;
    • Proactively responding to tenant issues, conducting formal and informal tenant meetings to promote/discuss marketing, operations, safety and security;
    • Supporting other Division/Departments and work with local governmental permit agencies to ensure compliance to related regulations and to overcome obstacles that can delay tenant operation (including fit-out, trial run, normal operation period);
    • Developing relationships with Store Managers – building and cultivating relationships to effectively manage sales and traffic.
    • Eloquently responding to customer complaints/concerns and relating to the designated Division/Department; through direct or indirect oversight, leading and enhancing the shopping experience for Shopper to Plaza.
  2. Sales Division Management: Managing Sales Division with:
    • Recruiting, developing, motivating, delegating and retaining a high performing sales team;
    • Providing employees with appropriate tools and training to create an environment that maximizes performance and adhering to all company policy and procedures;
    • Evaluating the performance of the Sales Team against plan;
    • Providing timely, actionable feedback to Sales Team members to improve performance.
    • Conducting all staff performance appraisals;
    • Leading staff in the development of priorities to achieve sales, operational and traffic goals.
  3. Shopping Mall Operator:
    • Carrying out business development by evaluating and looking for shopping mall management opportunities at other shopping center for Plaza Team;
    • Supporting other Division/IPPG’s Team in shopping mall management including but not limited to leasing, sales operation and sales team development;
    • Taking part in feasibility study, business plan and other activities regarding developing and managing a shopping mall; and
    • Conducting research, analysis and making proposal for strategy, tenant mix, process, procedure and standard for the intended shopping mall. 
  4. Marketing Design and Visibility:  
    • Approving Marketing layout, design and visibility.
  5. Other duties: As assigned by the Management.

C. Authority: As Deputy Managing Director in:

  1. Leading and managing Sales Division of Plaza; and
  2. Giving requests and standard, collaborating and monitoring of Operation Division for carrying out necessary tasks for keep Plaza at its best condition, ensuring tenants’ satisfaction and shoppers’ world class shopping experience.
